SMCT Board Meeting Minutes – September 2016

September 10th, 2016, 10:00am Benjamin Eddy Building, Foster, RI

Members present (voting members in bold): Kaila Rubin, Eric Dubois, Liz Dubois, Ben Stanfield, Leslie Carter, Bob Hollis, Artie Robillard, Chris Brostrup-Jensen, Nikki Boss, Meryn Flynn, Chloe Boss

Meeting begins - 10:08am

Executive Director
	-Communication meeting still has yet to be decided
		-Date will be chosen, most likely at the end of September or beginning of October
			-Tuesday, October 4th, 6:30pm at the Dubois' house
	-New role definitions still need to be voted on and disseminated
		-Post-show responsibilities need to be included
			-Task of purchasing/collecting scripts needs to be assigned

Fundraising
	-Community building grant was not sufficient for initial plans for outdoor performance space
		-New plan has been established to purchase collapsible theatre shell
			-Town will pour cement pad to support this at no cost to SMCT
			-Town will also pay to install conduit for tech wiring

Motion to allocate community building grant money to purchase theatre shell - Seconded/Passed

	-Donna Broomfield is interested in learning to write grants with SMCT

Creative
	-Seussical was not recorded as that would have been a breach of contract
	-Apocalypse Now has begun rehearsals and is going well
	-USO Show is moving forward nicely
	-Rumors will need an elaborate set, which will be challenging but doable
		-Still waiting to hear back about show dates
	-Nikki will be directing James and the Giant Peach
		-Bob Hollis, Audrey Dubois, and Meryn Flynn will also be involved
	-Laurie Murphy and Liz Dubois will be directing Tending to Grace
		-The script for Tending to Grace has been written
	-Creative Studio
		-Several CAST productions are currently in post-production
		-Editing workshops have helped to streamline the production process
		-New people have gotten involved with Creative Studio who have previously
                had no involvement with SMCT
		-September 18th at 2:00pm at Mount Vernon Church, there will be a general
                meeting for anyone interested in the Above the Influence videos to plan future projects
Education
	-The library has begun an after school program in which children will make skits out of books
	-Swamp Meadow has resumed their after school program at Captain Isaac Paine School
	-Chloe Boss would like to become a Youth Rep for Swamp Meadow

Motion to accept Chloe Boss as a new Youth Rep - Seconded/Passed

Events
	-Nikki does not believe another Halloween event will be a good idea
	-A silent auction will be worked into the Foster Follies
	-A lip synch battle has been proposed, Teen Troupe may be put in charge of this
		-Will probably be postponed to next year
	-Trinity Kickoff went very well
	-Funny for Funds presents opportunity for nonprofits to receive funding
		-Swamp Meadow would merely have to attend the event and provide some basic food items

Communication
	-Assistants should be added to votingboardmembers email list
		-Dennis or Eric can handle this

Tech
	-Purchasing of LED lights from Steve Carter needs to be decided

Motion to purchase Steve Carter's LED lights - Seconded/Passed

Next board meeting will be held on October 15th
